RingCentral is a large cloud communications provider whose RingEX phone plans start at $20 per user per month billed annually, or $30 month to month, with its AI Receptionist sold as an add-on from $39 a month. The main alternatives are other cloud phone systems such as Nextiva, Vonage and Dialpad, all-in-one customer communication platforms, and AI-first platforms such as Talos Connect. Compare the full set of features you will use, on the billing term you will actually choose.
Key takeaways
- As listed on RingCentral's pricing page in October 2026, RingEX Core is $20 per user per month billed annually or $30 month to month, and Advanced is $25 or $35.
- RingCentral AI Receptionist starts at $39 a month as a RingEX add-on with 100 minutes, then $0.50 a minute billed in 30-second increments.
- RingCentral is strongest for multi-site teams, enterprise administration, large video meetings, CRM links and healthcare EHR integrations.
- RingCentral alternatives fall into three groups: other cloud phone systems, all-in-one customer communication platforms, and AI-first platforms.
- Talos Connect is a newer all-in-one platform with published prices and an AI receptionist that books into its own calendar, but it has no CRM or EHR integrations yet.
If you are comparing RingCentral alternatives, start with what you need RingCentral to do. RingCentral is a large cloud communications provider whose RingEX plans combine business phone service, video meetings and team chat, with an AI Receptionist sold as an add-on. The realistic alternatives are other cloud phone systems such as Nextiva, Vonage and Dialpad, all-in-one customer communication platforms, and newer AI-first platforms that answer, book and follow up on calls for you.
A note on fairness. Talos Connect competes in this market, so read this guide as one vendor's view. Every RingCentral price and feature below comes from RingCentral's own website as we read it on October 12, 2026, and we link the pages so you can check them yourself. Plans and prices change, so confirm the details with RingCentral before you decide anything.
What is RingCentral?
RingCentral is a cloud communications company. Its main business phone product is RingEX, a unified communications service. Unified communications, often shortened to UCaaS, means one app for calls, text messages, video meetings and team chat, delivered over the internet as voice over IP (VoIP) rather than through a traditional phone line. RingCentral also sells a contact center product called RingCX, webinar and events products, and AI products including RingCentral AI Receptionist (AIR).
On RingCentral's pricing page, RingEX comes in four tiers:
- Core. Calling, the AI Virtual Assistant (AVA), on-demand call recording, 100 toll-free minutes, 25 SMS per user per month, HD video meetings for up to 300 participants, and LLM plugins and MCP connectors. RingCentral lists domestic calling within the US and Canada as unlimited on its plans.
- Advanced. Everything in Core plus CRM integrations, management of multiple sites, core reporting, 1,000 toll-free minutes and 100 SMS per user per month. Internet fax, which RingCentral lists as not available on Core, is included from Advanced up.
- AI Customer Engagement Bundle with AIR. Everything in Advanced plus the AI Receptionist, 10,000 toll-free minutes, 200 SMS per user per month, RingCentral Webinar, and the Business SMS and Call Queues Boosters.
- AI Customer Engagement Bundle with AIR and ACE. Adds AI Conversation Expert for coaching, call scoring and automated summaries.
Two more points from RingCentral's own pages are worth knowing. RingCentral states a 99.999% uptime service level agreement for its cloud phone system. And its AI Receptionist works with any phone system, so a business can buy AIR on its own without moving its phones to RingEX.
RingCentral pricing: what does it cost?
RingCentral pricing has three layers: the RingEX seat, the add-ons, and taxes and fees. These are the prices as listed on RingCentral's plans and pricing page in October 2026.
| RingEX plan | Billed annually | Billed monthly |
|---|---|---|
| Core | $20 per user per month | $30 per user per month |
| Advanced | $25 per user per month | $35 per user per month |
| AI Customer Engagement Bundle with AIR | Contact sales | Contact sales |
| AI Customer Engagement Bundle with AIR and ACE | Contact sales | Contact sales |
The same page lists these add-ons:
- AI Receptionist, starting at $39.
- Conversational Intelligence, starting at $60.
- Call Queues Booster, $35.
- Business SMS Booster, $25, which adds a shared SMS inbox, templates and compliance tools.
- High Volume SMS for automated or marketing texts, starting at $0.0119 per message sent or received.
- Additional local or toll-free numbers, $4.99 a month.
The page does not state the billing unit for every add-on, for example per user or per account, so ask for it in writing.
The AI Receptionist pricing page adds detail. AIR costs $49 a month on its own or $39 a month as a RingEX add-on, each with 100 minutes included. Beyond that, pay-as-you-go usage is $0.50 a minute, rounded up and billed in 30-second increments, and extra minute bundles are available. Both versions come with a 14-day free trial.
What costs extra. RingCentral's disclaimers say other taxes and fees may apply, and they name the Federal Universal Service Recovery Fee, E911 Service Fee, Compliance and Administrative Cost Recovery Fee, 911 Fee, and state and local taxes. The page also says registration with The Campaign Registry (TCR) is required for SMS and that additional TCR fees may apply, that international calls are charged at published rates, and that phone rental is available only with a multi-year contract.
Why do businesses look for RingCentral alternatives?
Shopping around is ordinary due diligence. None of the reasons below means RingCentral is a poor product. They mean the fit has changed.
- They use a fraction of the platform. RingEX is built to scale from small teams to large, multi-site organizations. A five-person office that mainly needs phones, texting and appointment booking may be paying for administration and collaboration tools it rarely opens.
- The add-ons add up. A shared texting inbox, call queues, AI receptionist minutes and conversation analytics are each priced separately. The total can look different from the seat price on the plan card.
- They want front-office automation, not only phones. Many local businesses also want appointment reminders, review requests, payment links and intake forms in the same system as the phone.
- The billing term matters to them. Core is $20 billed annually and $30 month to month. Some buyers want the lower rate, and others want the freedom to leave.
- A renewal date is coming. The end of a term is the natural time to compare the market.
- They want a different support relationship. Some owners prefer a smaller vendor where they can reach the same people each time.
Write down your own reason before you book any demo. It becomes the test every vendor has to pass.
What are the best RingCentral alternatives?
There is no single best answer, because alternatives to RingCentral solve different problems. They fall into three groups, and naming the group is more useful than a ranked list that goes out of date.
Other cloud phone systems
The most direct RingCentral competitors sell the same kind of product: cloud calling with desktop and mobile apps, texting, meetings and an admin portal. If RingCentral fits your workflow and you only want a different price or contract, start here.
RingCentral vs Nextiva. Both are full cloud phone systems with apps, video meetings and team messaging. As listed on Nextiva's pricing page in October 2026, Nextiva Core is $15 per user per month on annual small-business pricing or $23 month to month, Engage is $25 or $50, and Scale is $75. Nextiva's AI receptionist, XBert, costs $99 a month for 100 interactions, then $0.99 each, and it handles texts and web chats as well as calls. RingCentral prices AIR by the minute instead, so the cheaper option depends on whether your AI traffic is many short conversations or fewer long ones. Our Nextiva alternatives guide covers Nextiva in more depth.
Vonage vs RingCentral. Vonage Business Communications has three plans, Mobile, Premium and Advanced, listed on Vonage's pricing page in October 2026 at $19.99, $29.99 and $39.99 per line per month for the smallest team size, plus taxes and fees. New annual-contract accounts bought online get a promotional discount through 2026. Vonage Meetings hosts up to 200 participants on Premium and Advanced, against 300 on every RingEX plan, and Vonage's AI Virtual Assistant is a managed service scoped by quote rather than a self-serve add-on. See our Vonage alternatives guide for the details.
RingCentral vs Dialpad. Dialpad is a cloud communications platform that leads with its own AI features, such as AI transcription and AI recaps. Its pricing page groups products into AI Agent, Support, Sell and Connect, and it sells AI agent work through prepaid credits. If your interest in RingCentral vs Dialpad is mainly about call AI, compare the transcripts and summaries included in the exact plan you would buy. Our Dialpad alternatives guide goes further.
All-in-one customer communication platforms
Platforms in this group combine phones or texting with reminders, reviews, payments and forms, often built around one industry such as dental or home services. Weave and Podium are examples. The appeal is one record for each customer. The trade-off is a bigger switching project. Our Weave alternatives guide explains how to evaluate this category.
AI-first platforms
Newer platforms are built around AI agents that answer calls, book appointments, reply to texts and make follow-up calls. They offer coverage at all hours, but they are younger products with fewer integrations, and they need clear rules and human oversight. Talos Connect sits between this group and the all-in-one group.
Talos Connect vs RingCentral
Talos Connect is an all-in-one communications platform built by Talos Automation, LLC in Houston, Texas, and it is available to businesses anywhere in the United States, set up and supported remotely. It combines business phones on Talos's own phone service with two-way texting, scheduling and reminders, review requests, payments, digital forms, marketing, Call Intelligence and an AI receptionist. It is a newer product than RingCentral, which means a shorter track record and fewer integrations. Our comparison hub collects every side-by-side page we publish.

Where RingCentral is stronger
- Scale and administration. Multi-site management, a stated 99.999% uptime SLA and an upgrade path to the RingCX contact center, listed from $65 per user.
- Integrations. CRM integrations on Advanced, AIR connections to Salesforce, HubSpot and Zoho, and EHR apps. RingCentral's healthcare page names Epic, Cerner, Allscripts, NextGen, athenahealth and eClinicalWorks.
- Meetings. Video meetings for up to 300 participants on every plan, with webinars available.
- Languages. AIR lists six languages and switches mid-conversation.
- Light AI use. At $39 a month, AIR is cheaper to start than a $149 AI receptionist if you only need a few dozen calls answered.
- Track record. RingCentral has run business phone service far longer than Talos Connect has existed.
Where Talos Connect is stronger
- Front-office tools in one place. Reminders, review requests, payment links, digital forms and text and email campaigns sit beside the phones.
- AI minutes included. The AI receptionist includes 500 minutes for $149, books, reschedules and cancels in the Talos Connect calendar, and speaks Vietnamese as well as English and Spanish.
- Follow-up automation. AI outbound campaigns for recalls, reactivation and past-due balances, plus an after-hours AI text agent at $49 a month.
- Industry editions. Medical, dental, veterinary, restaurants, home services, law firms, salons and spas, auto repair and professional services.
- Self-service buying. The self-service store lists seats, numbers and Yealink desk phones from $89 one-time, and porting existing numbers is free.
Our page on business phone and VoIP features covers the phone side in detail.
Who should stay with RingCentral?
Be honest about fit. RingCentral is probably the right home if any of these describe you:
- You run several sites or a large team and need multi-site administration, cost controls and a path to a full contact center.
- Your team lives in a CRM such as Salesforce, HubSpot or Zoho and needs calls logged there automatically.
- You are a healthcare organization that needs EHR integration today. Talos Connect does not offer that yet, and our medical office page says so plainly.
- Your callers speak French, German, Italian or Portuguese, which AIR lists and Talos Connect does not.
- You host large meetings or webinars as part of your business.
- You are early in an annual term. Wait for renewal rather than paying for two systems.
If two or more of these apply, switching would probably cost more than it saves.
How do the costs compare? A hypothetical worked example
The scenario below is hypothetical. It uses only list prices published by RingCentral and Talos Connect in October 2026 and invented usage numbers. It leaves out taxes, regulatory fees, desk phones, setup, text registration fees and international calling. Replace it with written quotes.
Suppose an 8-person office wants phones, texting and an AI receptionist that answers overflow and after-hours calls.
Scenario 1: the AI answers 300 minutes a month
- RingCentral, billed annually: Core is 8 x $20 = $160. AIR is $39 + (200 extra minutes x $0.50) = $39 + $100 = $139. Monthly total: $160 + $139 = $299.
- RingCentral, billed monthly: 8 x $30 = $240, plus $139 for AIR. Monthly total: $379.
- Talos Connect: 8 Standard seats x $24.95 = $199.60. AI receptionist $149, which covers 500 minutes. One texting number $10. Monthly total: $199.60 + $149 + $10 = $358.60, plus $50 one-time registration.
Scenario 2: the AI answers 500 minutes a month
- RingCentral, billed annually: AIR is $39 + (400 x $0.50) = $239. Monthly total: $160 + $239 = $399.
- RingCentral, billed monthly: $240 + $239 = $479.
- Talos Connect: unchanged at $358.60, because 500 minutes are included.
On these numbers, RingCentral on annual billing is $59.60 a month cheaper in Scenario 1, and Talos Connect is $40.40 a month cheaper in Scenario 2. Month to month, Talos Connect is cheaper in both. The lesson is not that one vendor wins. It is that AI minutes, billing term and add-ons decide the answer, so estimate your real call volume first. Our savings page shows what Talos Connect replaces at different team sizes.
How do you switch from RingCentral without losing calls?
Switching is where the risk is. Follow this order and do not cancel anything early.
- Confirm your RingCentral term end date, notice period and any hardware rental terms.
- List every number you own: main line, fax, toll-free, tracking numbers and direct lines.
- Sign with the new vendor and start texting registration and the port request together.
- Export contacts, call-handling rules, greetings and any texting opt-outs.
- Build and test the new system on temporary numbers, including the AI receptionist script.
- Train staff before go-live, not on the day.
- Port numbers on a quiet day, with call forwarding as a fallback.
- Cancel RingCentral in writing only after every port is confirmed complete.
Migration checklist
- Porting: a recent bill, the account number, the port-out PIN and an exact match of the name and service address on file.
- Contacts: names, mobile numbers and texting opt-out status. A customer who replied STOP must stay opted out.
- Call flows: auto attendant menus, ring groups, business hours and holiday schedules, written down screen by screen.
- Templates: saved texts, voicemail greetings and after-hours messages.
- Texting registration: business texting from a local number requires A2P 10DLC registration through The Campaign Registry, and approval timing is outside any vendor's control. Our business texting page explains how Talos Connect handles it.
- Hardware: which desk phones are rented, which are owned and whether owned phones can move to the new provider.
- AI receptionist: your FAQs, booking rules and the names of the people who should get transfers and emergency escalations.
Common mistakes when comparing business phone systems
- Comparing seat prices only. The seat is the start of the bill. Add AI minutes, texting, recording, fax and queues before you compare.
- Mixing billing terms. RingCentral's annual price against another vendor's monthly price is not a fair comparison. Line up the same term.
- Ignoring usage-based charges. Per-minute AI pricing and per-interaction AI pricing behave very differently as volume grows.
- Assuming an integration exists. Get the exact CRM or EHR, version and sync direction in writing.
- Cancelling before the port completes. This is how businesses lose the number printed on their trucks and signs.
- Forgetting texting registration. Plan for 10DLC approval time before your texts go live.
- Skipping the hard demo questions. Ask each vendor to show a missed call, an after-hours call and a transfer to a person.
- Not asking about AI outreach rules. Automated outbound calls are subject to the Telephone Consumer Protection Act (TCPA). Ask how each vendor handles consent and calling hours. This is not legal advice.

Frequently asked questions
How much does RingCentral cost?
As listed on RingCentral's plans and pricing page in October 2026, RingEX Core is $20 per user per month billed annually or $30 month to month, and RingEX Advanced is $25 or $35. The two AI Customer Engagement Bundles are priced by quote. Add-ons cost extra, and RingCentral notes that taxes and fees such as the E911 Service Fee may apply.
Who are the main RingCentral competitors?
The closest RingCentral competitors are other cloud phone systems, such as Nextiva, Vonage and Dialpad, which sell calling, texting, meetings and an admin portal. Some businesses also compare all-in-one customer communication platforms that add reminders, reviews and payments, and AI-first platforms that answer and book calls. The right group depends on whether you need enterprise phone features, front-office automation or both.
Does RingCentral have an AI receptionist?
Yes. RingCentral AI Receptionist, also called AIR, answers calls around the clock, routes callers, captures leads and schedules appointments through connected calendars. RingCentral lists it at $39 a month as a RingEX add-on or $49 a month on its own, each with 100 minutes, then $0.50 a minute. RingCentral offers a 14-day free trial of both versions.
Will RingCentral sign a HIPAA business associate agreement?
RingCentral's March 2026 HIPAA document says it makes a business associate agreement available to paying covered-entity customers, and it lists RingEX, RingCentral Fax and AI Receptionist among the covered services. Compliance also depends on how your own staff use any tool, so review the agreement with your advisor. This is general information, not legal advice.
Can I keep my phone numbers if I leave RingCentral?
In most cases, yes. US rules generally let you port a business number to a new provider when the details on the port request match your current provider's records. Keep your RingCentral service active until the port is confirmed, check whether you are inside an annual commitment, and ask the new vendor to manage the port request for you.
Is Talos Connect cheaper than RingCentral?
It depends on what you use. On seat price alone, RingEX Core billed annually costs less than a Talos Connect Standard seat. The gap changes once you add AI receptionist minutes, texting, recording and fax. In our worked example, RingCentral was cheaper at light AI use and Talos Connect was cheaper at heavier use. Price your own mix with written quotes.
Does Talos Connect connect to Salesforce or an EHR?
Not yet. Talos Connect does not currently connect to CRM, EHR, practice-management or point-of-sale systems, and those connections are on the roadmap. Scheduling and AI booking run on the Talos Connect calendar. If automatic sync with Salesforce or an EHR is essential, RingCentral's Advanced plan or its healthcare integrations may suit you better today.
