The short answer

Nextiva is a cloud communications provider whose small-business plans, Core, Engage and Scale, are listed at $15, $25 and $75 per user per month on annual pricing, with its XBert AI receptionist sold as a $99 a month add-on for 100 interactions. The main alternatives are other cloud phone systems such as RingCentral, Vonage and Dialpad, all-in-one customer communication platforms, and AI-first platforms such as Talos Connect. Compare the plan you would actually need, on the same billing term.

Key takeaways

  • As listed on Nextiva's pricing page in October 2026, Core is $15 per user per month on annual pricing or $23 monthly, Engage is $25 or $50, and Scale is $75.
  • Nextiva's annual small-business pricing is for new customers with 1 to 100 employees who sign a paid term of 12 months or longer.
  • XBert, Nextiva's AI receptionist, is $99 a month for 100 interactions, then $0.99 each, and it answers calls, texts and web chats.
  • Nextiva is strongest for teams that want a path to a full customer experience platform, AI across several channels, and integrations available on request.
  • Talos Connect is a newer all-in-one platform with published prices and an AI receptionist priced by minutes, but it has no CRM or practice-management integrations yet.

If you are researching Nextiva alternatives, first decide which part of Nextiva you want to replace. Nextiva sells cloud business phone service with team messaging and video meetings on every plan, a customer experience platform on its higher tiers, and an AI receptionist called XBert as an add-on. The realistic alternatives are other cloud phone systems such as RingCentral, Vonage and Dialpad, all-in-one customer communication platforms, and newer AI-first platforms that answer, book and follow up on calls.

A note on fairness. Talos Connect competes in this market, so read this guide as one vendor's view. Every Nextiva price and feature below comes from Nextiva's own website as we read it on October 12, 2026, and we link the pages so you can check them. Plans and promotions change often, so confirm the details with Nextiva before you decide.

What is Nextiva?

Nextiva is a cloud communications company. Its products include business phone service, a unified communications and customer experience platform it calls NEXT, a contact center, and XBert, which Nextiva describes as an AI employee for customer conversations. Cloud phone service, also called voice over IP (VoIP), means your calls run over an internet connection through desktop and mobile apps or desk phones instead of a traditional phone line.

Nextiva's pricing page says every plan includes business phone and team messaging. For small businesses it lists three plans:

  • Core. Inbound and outbound voice, business SMS, video meetings, screen and file sharing, call routing, team chat and a mobile app. Nextiva's comparison table lists calls and video meetings as unlimited on all three plans, and its plan notes describe voice within the US and Canada.
  • Engage. Everything in Core plus customer-to-team SMS, a toll-free number with up to 2,000 free toll-free minutes, advanced reporting, and live chat with a chatbot.
  • Scale. A full customer experience platform with voice and web chat, blended inbound and outbound calling, AI transcription and summaries, skills-based routing and journey orchestration.

The comparison table also shows how features step up by plan. Text messages per user per month are 100 on Core and 500 on Engage, and Scale lists them as unlimited. Online fax, call recording, a toll-free number and the option for customers to text your team are add-ons on Core and included on Engage and Scale. AI call notes, AI summaries and real-time transcription are listed only on Scale. Every plan includes an auto attendant, voicemail transcription, 24/7 support and hands-on setup assistance.

Nextiva pricing: what does it cost?

Nextiva pricing depends on the plan, the billing term and the add-ons. These are the prices as listed on Nextiva's plans and pricing page in October 2026.

Nextiva planAnnual pricingMonth to month
Core$15 per user per month$23 per user per month
Engage$25 per user per month$50 per user per month
Scale$75 per user per month$75 per user per month
Enterprise EssentialFrom $75 per agent per monthNot listed separately
Enterprise Professional and PremiumContact salesContact sales

The fine print matters. Nextiva says annual small-business pricing applies to new small business customers with 1 to 100 employees who sign a paid minimum term of 12 months or longer. It also notes that some features may involve extra setup, licensing or usage fees. The pricing page we read does not itemize taxes or regulatory fees, so ask for a complete written quote.

XBert pricing. The XBert AI receptionist page lists XBert at $99 a month, which includes 100 interactions, then $0.99 per interaction. An interaction, which Nextiva also calls a resolution or conversation, counts when a call lasts 30 seconds or more or when a text or chat receives three or more AI responses. Nextiva says XBert has no long-term contract and comes with a 30-day money-back guarantee.

What else costs extra. On the comparison table, CRM integrations such as Salesforce and HubSpot are add-ons on every plan, and Microsoft Teams is an add-on on Core. A built-in call center is an add-on on Engage and included on Scale.

Why do businesses look for Nextiva alternatives?

Looking at alternatives to Nextiva is normal at renewal time, and the reasons are usually about fit.

  • The billing gap is large. Engage is $25 on annual pricing and $50 month to month. Buyers who cannot commit to 12 months see a very different price.
  • Core may not cover the basics they need. If customers need to text the team, or the office needs fax or call recording, Core requires add-ons or an upgrade to Engage.
  • AI call features sit on the top plan. AI call notes and summaries are listed on Scale, at $75 per user, which is more platform than some small offices need.
  • AI pricing by interaction. XBert charges per interaction after the first 100. A busy office with many short calls should model that carefully.
  • They want front-office automation. Many local businesses want reminders, review requests, payment links and intake forms in the same system as the phone.
  • Support preferences. Some owners prefer a smaller vendor where they reach the same people every time.

Write down your own reason before your first demo. It keeps every vendor focused on the problem you actually have.

What are the best Nextiva alternatives?

Nextiva competitors fall into three groups. The group matters more than any ranked list, because rankings go out of date and categories do not.

Other cloud phone systems

These sell the same kind of product: calling, texting, meetings, team chat and an admin portal.

Nextiva vs RingCentral. As listed on RingCentral's pricing page in October 2026, RingEX Core is $20 per user per month billed annually or $30 month to month, and Advanced is $25 or $35. Core includes 25 SMS per user per month and video meetings for up to 300 participants. RingCentral's AI Receptionist starts at $39 a month as an add-on with 100 minutes, then $0.50 a minute, so it is priced by time where XBert is priced by conversation. Our RingCentral alternatives guide covers RingCentral in detail.

Nextiva vs Vonage. As listed on Vonage's pricing page in October 2026, Vonage Business Communications has Mobile, Premium and Advanced plans at $19.99, $29.99 and $39.99 per line per month for the smallest team size, with a promotional discount for new annual-contract accounts bought online. Vonage's AI Virtual Assistant is a managed service scoped by quote. See our Vonage alternatives guide.

Nextiva vs Dialpad. Dialpad is a cloud communications platform that leads with its own AI features, such as AI transcription and AI recaps. Its pricing page groups products into AI Agent, Support, Sell and Connect, and it sells AI agent work through prepaid credits. In a Nextiva vs Dialpad comparison, check where call transcription and summaries are included: Nextiva lists them on Scale, so compare that against the Dialpad plan you would buy. Our Dialpad alternatives guide goes further.

All-in-one customer communication platforms

These combine phones or texting with appointment reminders, review requests, payments and forms, often for one industry. Weave and Podium are examples. The benefit is one customer record. The cost is a bigger switching project. Our Weave alternatives guide explains how to evaluate them.

AI-first platforms

These are built around AI agents that answer calls, book appointments, reply to texts and place follow-up calls. They cover the phone at all hours but are newer, with fewer integrations, and they need clear rules and human oversight. Talos Connect sits between this group and the all-in-one group.

Talos Connect vs Nextiva

Talos Connect is an all-in-one communications platform built by Talos Automation, LLC in Houston, Texas. It is available to businesses anywhere in the United States, set up and supported remotely. It combines business phones on Talos's own phone service with two-way texting, scheduling and reminders, review requests, payments, digital forms, marketing, Call Intelligence and an AI receptionist. It is a newer product than Nextiva, with a shorter track record and fewer integrations. Our comparison hub lists every side-by-side page we publish.

Where Nextiva is stronger

  • Room to grow into a contact center. Scale and the Enterprise plans add skills-based routing, journey orchestration and supervisor tools.
  • One AI across channels. XBert answers calls, texts, web chats and messaging apps under one price.
  • Integrations on request. XBert lists live connections to Google Calendar, Calendly, Cal.com, Zoho and Housecall Pro, and more on request, including Salesforce, HubSpot, ServiceTitan, Square Bookings and dental systems such as Opus Dental and Tab32.
  • Social and review accounts. Plans include management of social media and online review accounts, such as Google and Yelp, with limits by plan.
  • Lowest seat price on a term. Core at $15 on annual pricing is a low entry point for phone-only needs.
  • Track record. Nextiva has offered business phone service far longer than Talos Connect has existed.

Where Talos Connect is stronger

  • Front-office tools included. Reminders, review requests sent by text after visits, payment links, digital forms and text and email campaigns sit beside the phones.
  • Minutes, not interactions. The AI receptionist includes 500 minutes for $149 and books, reschedules and cancels in the Talos Connect calendar, in English, Spanish or Vietnamese.
  • Call insights without the top plan. Call Intelligence adds transcripts, summaries, sentiment and missed-opportunity detection for $5 per user, or comes with the Premium seat at $34.95.
  • Outbound follow-up. AI outbound campaigns for recalls, reactivation and past-due balances.
  • Self-service buying. The self-service store lists seats, numbers and Yealink desk phones from $89 one-time, and porting is free.

For the phone details, see our business phone and VoIP features page.

Who should stay with Nextiva?

Nextiva is likely the better fit if any of these describe you:

  • You expect to grow into a contact center with queues, skills-based routing and supervisors.
  • You want one AI for calls, texts and web chat and like paying per conversation.
  • You need a specific integration today, such as Salesforce, HubSpot, ServiceTitan or a dental system on XBert's list. Talos Connect does not offer CRM or practice-management connections yet.
  • You manage many social and review accounts and want them in the same tool as your phones.
  • You only need phones and can commit to a year, where Core at $15 is hard to beat.
  • You are partway through a 12-month term. Plan your comparison around the renewal date.

If several of these fit, staying is probably the sensible choice.

How do the costs compare? A hypothetical worked example

This example is hypothetical. It uses list prices published by Nextiva and Talos Connect in October 2026 and invented usage. It leaves out taxes, regulatory fees, desk phones, setup, text registration fees and international calling. Use written quotes for a real decision.

Suppose an 8-person office wants phones, texting and an AI receptionist for overflow and after-hours calls.

Scenario 1: 250 AI-handled calls a month, averaging 2 minutes each (500 minutes)

  • Nextiva Core, annual pricing: 8 x $15 = $120. XBert: $99 + (150 extra interactions x $0.99) = $99 + $148.50 = $247.50. Monthly total: $367.50.
  • Nextiva Engage, annual pricing, so customers can text the team: 8 x $25 = $200, plus $247.50. Monthly total: $447.50.
  • Nextiva Core, month to month: 8 x $23 = $184, plus $247.50. Monthly total: $431.50.
  • Talos Connect: 8 Standard seats x $24.95 = $199.60, AI receptionist $149 with 500 minutes, one texting number $10. Monthly total: $358.60, plus $50 one-time registration.

Scenario 2: 100 AI-handled calls a month

  • Nextiva Core, annual pricing: $120 + $99 = $219.
  • Talos Connect: still $358.60.

So at 250 calls, Talos Connect is $8.90 a month cheaper than Nextiva Core on annual pricing and $88.90 cheaper than Engage. At 100 calls, Nextiva Core is $139.60 a month cheaper. Volume decides it. One more difference: XBert's price also covers texts and chats, while Talos Connect handles after-hours texts with a separate $49 AI text agent. Our savings page shows what Talos Connect replaces at several team sizes.

How do you switch from Nextiva without losing calls?

Follow this order, and do not cancel anything until the ports are complete.

  1. Confirm your Nextiva term end date and any notice or early-cancellation terms in your agreement.
  2. List every number you own: main line, fax, toll-free, and any numbers used in ads.
  3. Sign with the new vendor and start texting registration and the port request together.
  4. Export contacts, texting opt-outs, call routing rules and greetings.
  5. Build and test the new system on temporary numbers, including AI receptionist scripts and transfer rules.
  6. Train staff before go-live.
  7. Port numbers on a quiet day, with forwarding ready as a fallback.
  8. Cancel Nextiva in writing after every port is confirmed.

Migration checklist

  • Porting: a recent bill, account number, port-out PIN and an exact match of the name and service address on file.
  • Contacts and opt-outs: carry over every STOP request. Texting someone who opted out is a compliance problem.
  • Call flows: auto attendant menus, ring groups, business hours and holiday rules, documented screen by screen.
  • Templates: saved texts, voicemail greetings and after-hours messages.
  • Texting registration: business texting from a local number requires A2P 10DLC registration through The Campaign Registry. Approval time is outside any vendor's control, so start early.
  • Reviews and social accounts: note which Google Business Profile and other accounts are connected to Nextiva so you can reconnect or replace them.
  • Hardware: which desk phones you own and whether they can be reprovisioned.

Common mistakes when comparing cloud phone and AI receptionist plans

  • Comparing an annual price to a monthly one. On Engage, Nextiva's annual price is half its monthly price. Line up the same term for every vendor.
  • Ignoring how AI usage is counted. Per-interaction, per-minute and per-credit pricing behave differently as volume grows. Model a slow month and a busy one.
  • Buying the cheapest plan, then upgrading. If you need fax, recording or customer texting, price the plan that includes them.
  • Assuming an integration exists. Get the exact system, version and sync direction in writing.
  • Cancelling before the port completes. This is how businesses lose their main number.
  • Losing opt-outs in the move. Carry STOP requests into the new system before any campaign goes out.
  • Skipping the hard demo. Ask each vendor to show a missed call, an after-hours call and a transfer to a person.
  • Forgetting outbound calling rules. Automated outbound calls are subject to the Telephone Consumer Protection Act (TCPA). Ask each vendor how it handles consent and calling hours. This is not legal advice.

Frequently asked questions

How much does Nextiva cost?

As listed on Nextiva's pricing page in October 2026, Core is $15 per user per month on annual small-business pricing or $23 month to month, Engage is $25 or $50, and Scale is $75. Enterprise plans start at $75 per agent per month for Essential, with Professional and Premium priced by sales. The XBert AI receptionist is an extra $99 a month.

What is Nextiva XBert and how is it priced?

XBert is Nextiva's AI receptionist. It answers calls, texts and web chats, books appointments through calendar integrations and hands complex requests to staff. Nextiva lists it at $99 a month for 100 interactions, then $0.99 per interaction. A call counts once it lasts 30 seconds, and a text or chat counts after three AI responses. Nextiva offers a 30-day money-back guarantee.

Who are Nextiva's main competitors?

The closest Nextiva competitors are other cloud phone systems, such as RingCentral, Vonage and Dialpad, which sell calling, texting, meetings and team chat. Some businesses also compare all-in-one customer communication platforms that add reminders, reviews and payments, and AI-first platforms that answer and book calls. Choose the group that matches the problem you are trying to solve.

Do I have to sign an annual contract with Nextiva?

Not to buy, but the lower prices depend on it. Nextiva's pricing page says annual small-business pricing is for new small business customers with 1 to 100 employees who sign a paid minimum term of 12 months or longer. Month-to-month prices are higher, for example $23 instead of $15 on Core and $50 instead of $25 on Engage.

Will Nextiva sign a HIPAA business associate agreement?

Nextiva's own article on HIPAA, last updated in December 2025, says it executes a business associate agreement covering its HIPAA services and limits some features on HIPAA accounts, such as voicemail to email. Confirm exactly which services the agreement covers before you handle patient information. This is general information, not legal advice.

Can I keep my phone numbers if I leave Nextiva?

In most cases, yes. US rules generally let you port a business number to a new provider when the account details on the port request match your current provider's records. Keep your Nextiva service active until the port is confirmed, check whether you are inside a 12-month term, and ask your new vendor to manage the port request.

Does Talos Connect connect to my CRM or dental software?

Not yet. Talos Connect does not currently connect to CRM, EHR, practice-management or point-of-sale systems, and those connections are on the roadmap. Scheduling and AI booking run on the Talos Connect calendar. If you need your AI receptionist to write into dental software today, check which systems Nextiva or another vendor supports for your exact version.
