Smith.ai is an answering service that sells AI receptionist plans and live, human receptionist plans, both priced per call. The main Smith.ai alternatives are other live virtual receptionist services such as Ruby, which prices by the minute, AI receptionist products, and all-in-one platforms with a built-in AI receptionist such as Talos Connect. If you want a live person answering your calls, stay with Smith.ai or look at Ruby, because the Talos Connect receptionist is AI only.
Key takeaways
- As listed in October 2026, Smith.ai's AI receptionist runs from a Free plan with 25 calls to Pro from $150 a month for 75 calls, and its live receptionist plans start at $300 a month for 30 calls.
- Ruby is a live virtual receptionist service priced by the minute, from $250 a month for 50 minutes, and it uses AI to assist its human receptionists rather than replace them.
- Smith.ai bills per call and Ruby bills per receptionist minute, so your call count and average call length decide which costs less.
- Smith.ai's medical page says it is not HIPAA-compliant and cannot handle protected health information, while Ruby offers an opt-in HIPAA service with a business associate agreement.
- Talos Connect is a phone system with an AI-only receptionist at $149 a month including 500 minutes; it does not provide human answering.
If you are comparing Smith.ai alternatives, start by deciding whether you want people, AI or both answering your phone. Smith.ai is an answering service that sells AI receptionist plans and live, human receptionist plans, both priced per call. The main alternatives are other live virtual receptionist services such as Ruby, AI receptionist products, and all-in-one platforms with a built-in AI receptionist, such as Talos Connect.
A note on fairness, and on scope. The Talos Connect receptionist is AI only. If you want a live person to answer your calls, Smith.ai and Ruby both offer that and Talos Connect does not, so this guide covers Ruby in some depth. Every Smith.ai and Ruby fact below comes from their own websites, checked in October 2026. For the general question of people versus software, see our guide to virtual receptionists vs AI receptionists; this post sticks to the vendors.
What is Smith.ai?
Smith.ai sells three ways to answer your calls, all delivered as a service that your calls are forwarded or ported to.
AI Receptionist. An AI that answers 24/7, screens and qualifies callers, routes calls, books appointments through scheduling tools such as Calendly, and sends call summaries to your team. Every AI plan includes recording, transcription and summaries, analytics and call history. Smith.ai's AI Receptionist page lists conversational fluency in English and Spanish, spam screening on every plan, and integrations including Salesforce, HubSpot, Clio Grow, Clio Manage, Calendly, Zapier and Make.
Virtual Receptionists. Live people. Smith.ai says its receptionists work across North America, its plans are live-staffed 24/7, and it uses no overseas agents. They screen and qualify callers, book on your calendar, collect payments, make warm transfers with context and return missed calls. They serve callers in English and Spanish and are guided by Smith.ai's own AI during the call.
Hybrid. AI answers every call and handles simple ones, and a live agent joins for complex or high-value calls, with both on one bill. Smith.ai does not publish a hybrid price. Separately, AI plan customers can send calls to live agents through what Smith.ai calls its Live Agent Network, billed as a per-call add-on; Smith.ai says there is no fee when the AI itself starts the escalation.
Smith.ai's help center says calls from cloud numbers, landlines and SIP lines can be forwarded to it, that cell phones use conditional forwarding, and that some customers eventually port their number to Smith.ai. After a call, receptionists can send a follow-up text or email, which for existing clients can include a feedback survey or a review request.
Smith.ai pricing: what does it cost?
Smith.ai pricing is published, which makes it easier to compare than most answering services. As listed on Smith.ai's AI Receptionist pricing page in October 2026:
| AI plan | Monthly price | Calls included | Each extra call |
|---|---|---|---|
| Free | $0 | 25 | $3.00 |
| Pro | $150 | 75 | $2.50 |
| Pro | $270 | 150 | $2.30 |
| Pro | $500 | 300 | $2.17 |
| Enterprise | $500 | 300 | $2.17 |
| Enterprise | $800 | 500 | $2.10 |
| Enterprise | Custom | 1,000+ | Custom |
Pro adds dedicated onboarding and live support; Enterprise adds full-service setup, custom AI prompting and multi-location support. The AI service is month to month with 30 days' notice to cancel, and Smith.ai says calls from known spammers are filtered out and do not count.
As listed on Smith.ai's main pricing page in October 2026, the live receptionist plans are:
| Live plan | Monthly price | Calls included | Each extra call |
|---|---|---|---|
| Starter | $300 | 30 | $11.50 |
| Basic | $810 | 90 | $10.50 |
| Pro | $2,100 | 300 | $8.50 |
| Enterprise | Custom | Custom | Custom |
Per-call add-ons on live plans include appointment booking ($1.50), text and email follow-up ($0.50), accepting payments ($1.00), call recording and transcription ($0.25), a dedicated Spanish line ($1.00) and extended intake ($1.50). Live plans are month to month, with a 10% discount for a 12-month subscription and a 30-day money-back guarantee of up to $1,000 that excludes overage charges.
So the Smith.ai cost for your business is mostly a function of how many calls you get and which add-ons you switch on. Because billing is per call, call length does not change the price.
What does Ruby cost, and how is it different?
Ruby is a live virtual receptionist service. Ruby's AI page says it uses AI to support its human receptionists, with an assistant that pulls up your business information during the call, AI transcripts, sentiment insights and robocall filtering, rather than having AI answer on its own. Those AI features are included in every plan.
As listed on Ruby's plans and pricing page in October 2026, Ruby receptionist pricing is:
| Ruby plan | Monthly price |
|---|---|
| 50 receptionist minutes | $250 |
| 100 receptionist minutes | $395 |
| 200 receptionist minutes | $720 |
| 500 receptionist minutes | $1,725 |
Ruby also sells live website chat plans and chat bundles. The pricing page says all plans include the same features, with 24/7 live answering including nights, weekends and holidays, and no extra fees for activation, onboarding, setup or coverage at certain times.
How Ruby counts minutes matters as much as the plan price. Ruby's FAQ says:
- Receptionist time on an inbound call runs from when a receptionist receives the call until it is transferred, sent to voicemail or ends, plus any time spent finishing your call details after the caller hangs up.
- Hold time counts; talk time after a call is transferred to you does not.
- Calls are rounded up to the next 60-second mark.
- Minutes over your plan are billed at your plan's overage rate, which is not shown on the pricing page, and the Ruby app alerts you at 85% and 100% of your minutes.
Ruby's FAQ also says there is no long-term contract, Spanish bilingual service is included at no extra cost, its receptionists are US based, and you can opt in to a HIPAA compliant service by signing a business associate agreement at no extra charge. You can forward your existing number to Ruby or, often, port it to Ruby.
Smith.ai vs Ruby: per call or per minute?
The core of Smith.ai vs Ruby on price is the billing unit. Smith.ai charges per call, so long calls cost the same as short ones. Ruby charges per receptionist minute, so short calls are cheaper and long intake calls cost more. Our guide to how much an answering service costs walks through both models with a worksheet. Beyond price, Smith.ai offers AI-only and hybrid options, and Ruby offers an opt-in HIPAA service.
Why do businesses look for Smith.ai alternatives?
The reasons are usually about fit, not fault.
- They are a healthcare practice. Smith.ai's medical and wellness page says it is not HIPAA-compliant and cannot handle protected health information, and it points such businesses to healthcare-specific providers.
- They want the phone system and the answering in one place. Smith.ai answers calls forwarded from your phone service. Some owners would rather have one vendor for phones, texting and answering.
- They want two-way texting, reminders and reviews alongside answering. Smith.ai sends follow-up texts after calls, but a shared texting inbox and appointment reminders sit outside its core.
- Their call volume is growing. Per-call pricing is easy to predict, and it also rises with every call.
- They want a language other than English or Spanish. Smith.ai lists English and Spanish.
- They are on AI and want people, or the reverse. Moving between AI and live answering is a common reason to compare.
What are the best Smith.ai alternatives?
Smith.ai competitors sort into five groups. Which group fits depends on who you want answering and what else you need the system to do.
| Category | Examples | Who answers | Best for |
|---|---|---|---|
| Live virtual receptionist services | Ruby | People | Businesses that want a person on every call |
| AI receptionist services | Smith.ai AI plans and similar products | AI, with optional human backup | Low cost per call, after-hours coverage |
| Phone systems with an AI add-on | Business phone providers covered in our RingCentral alternatives guide | AI | Businesses replacing their phone company anyway |
| All-in-one platforms with built-in AI | Talos Connect; Podium's AI Employee | AI | Phones, texting, scheduling and reviews in one system |
| In-house receptionist | Your own hire | A person on staff | High call volume during business hours |
If live people are non-negotiable, Ruby is the closest alternative, and Smith.ai's own live plans may be the best answer. If AI is acceptable and you also want texting, reviews and scheduling, an all-in-one platform is worth comparing; our Podium alternatives guide covers that group.
Talos Connect vs Smith.ai and Ruby
Talos Connect is not an answering service. It is a business phone platform from Talos Automation, LLC, built in Houston, Texas and available to businesses anywhere in the United States, with an AI receptionist as an add-on. It is also a newer product than either Smith.ai or Ruby.
| Capability | Talos Connect | Smith.ai | Ruby |
|---|---|---|---|
| Live human receptionists | No (AI only; transfers to your staff) | Yes, 24/7, from $300/mo for 30 calls | Yes, 24/7, from $250/mo for 50 minutes |
| AI answers calls on its own | Yes: $149/mo with 500 minutes, then $75 per 500 | Yes: Free (25 calls) to Pro from $150/mo (75 calls) | No; AI assists receptionists |
| Billing unit for answering | AI minutes | Calls | Receptionist minutes |
| Languages | English, Spanish and Vietnamese (AI) | English and Spanish | English and Spanish |
| Business phone system | Yes, seats from $19.95/user/mo on Talos's own phone service | No; forward or port your number | Can host your number; forward or port |
| Booking during the call | Yes, in the Talos Connect calendar | Yes, through tools such as Calendly | Yes, in your online calendar |
| Two-way texting inbox | Add-on: Standard seat, $10/mo per number, $50 one-time registration | Follow-up texts after calls | Call and text from your business number |
| HIPAA | Designed to support HIPAA-conscious workflows; BAA for healthcare clients | Says it cannot handle PHI | Opt-in HIPAA service with a BAA |
| CRM and practice-tool integrations | CRM: one way to HubSpot, Salesforce and six more, plus Slack, Zapier, Make and n8n; practice tools such as Clio not yet (roadmap); open API and webhooks | Yes, including Clio, Salesforce and HubSpot | Check with vendor |
Where Smith.ai is stronger. Choice: AI-only, live or hybrid from one vendor, with a free AI plan to test. Legal intake is a clear focus, with integrations such as Clio and payment collection during the call. Per-call pricing is simple to predict.
Where Ruby is stronger. Every call is answered by a person, with AI working in the background, and Spanish is included. Ruby offers an opt-in HIPAA service with a business associate agreement at no extra charge.
Where Talos Connect is stronger. It is the phone system itself, not a service layered on top, so seats, numbers, texting and the AI receptionist share one bill. The AI answers around the clock, or only after hours or on overflow if you prefer, in English, Spanish or Vietnamese, and it books, reschedules and cancels in the same calendar your staff use. Two-way business texting, reminders, reviews and the phone system features live in the same app. For healthcare clients, a business associate agreement is part of onboarding; the U.S. Department of Health and Human Services explains the HIPAA rules at hhs.gov.
Where the call notes go. With an answering service, the message usually arrives by email, text or an app. With Talos Connect, each call is saved in the platform with a transcript and summary, and it can also be sent to the tools you already use. The Talos team connects HubSpot, Salesforce, GoHighLevel, Pipedrive, Zoho CRM, Close, monday.com (sales CRM boards) or Airtable, Slack for new-lead and missed-call alerts, or Zapier, Make and n8n, which can forward records to thousands of other apps. New and updated contacts, calls with their outcome and AI summary, booked appointments and new leads are then sent automatically, one way. Law firms should note that Clio is not on that list. The CRM integrations page shows what each app receives.
Who should stay with Smith.ai or choose Ruby?
Be honest with yourself about who you want answering. Stay with Smith.ai, or choose Ruby, if:
- You want a live person on every call. Talos Connect cannot provide that. Ruby and Smith.ai's live plans can.
- You want a hybrid with human backup from the same vendor. Smith.ai sells exactly that.
- You want to keep your current phone provider. Smith.ai and Ruby both work by forwarding. Talos Connect replaces your phone service.
- Your intake depends on a legal practice tool. Smith.ai's integrations with Clio and similar tools are hard to replace today.
- You take healthcare calls and want people answering. Ruby's opt-in HIPAA service is built for that.
How do the costs compare? A hypothetical worked example
The business and numbers here are invented for illustration, and every price is a published list price from October 2026.
Suppose a three-person law office gets 120 calls a month that need answering, and each takes about 3 minutes of receptionist time, or 360 minutes in total.
Smith.ai AI Pro (75-call level): $150 + (45 extra calls x $2.50) = $150 + $112.50 = $262.50 a month. The 150-call level would be $270, so the 75-call level is slightly cheaper at this volume.
Smith.ai live, Basic: $810 + (30 extra calls x $10.50) = $810 + $315 = $1,125 a month. Starter would be $300 + (90 x $11.50) = $1,335, so Basic wins. Adding booking on 40 calls adds 40 x $1.50 = $60, for $1,185.
Ruby: 360 minutes before rounding and after-call work. The 500-minute plan is $1,725 a month. The 200-minute plan is $720 plus 160 minutes at the plan's overage rate, which Ruby does not publish; ask for it in writing before choosing.
Talos Connect: AI receptionist $149 with 500 minutes included, so 360 minutes fit. Add 3 Basic phone seats at 3 x $19.95 = $59.85. Total: $149 + $59.85 = $208.85 a month.
Two cautions keep this fair. First, the Talos Connect figure includes the phone service itself, while Smith.ai and Ruby sit on top of the phone bill you already pay; add that bill to their columns. Second, this compares AI answering with live people, which is not like for like. The example leaves out taxes, regulatory fees, hardware, setup, texting and any per-call add-ons you choose. See our cost savings page for full Talos Connect packages.
How do you switch from Smith.ai?
- Decide what you want next: AI, live people or a mix.
- Pull at least three months of call history: call count, average length and the most common call types.
- Write your call script, intake questions, transfer list and emergency rules in one document.
- Check your notice terms; Smith.ai's AI plans ask for 30 days' notice, and live plans bill through the current monthly cycle.
- Set up the new service and test it with your own calls, including after hours.
- Move your forwarding, or start a port if your number is hosted by your current service.
- Run both in parallel for a few days and compare messages and bookings.
- Cancel in writing once the new service has handled real calls cleanly.
Migration checklist
- Numbers: list every number forwarded to Smith.ai and any number ported to it
- Forwarding rules: note business-hours, after-hours and overflow settings on your phone system
- Scripts: save greetings, intake questions and the answers to common questions
- Calendar: reconnect your booking tool and confirm buffers and appointment types
- Integrations: list every CRM, practice tool and Zapier or Make workflow that receives call data
- Follow-up texts: copy templates, and if you will text from your own number, start 10DLC registration early
- Payments: decide who will take payments by phone after the switch
- Healthcare: if you handle protected health information, sign a BAA before go-live
Common mistakes when comparing answering services and AI receptionists
- Comparing a per-call price with a per-minute price directly. Convert both to a monthly total using your real call count and length.
- Forgetting the phone bill. An answering service sits on top of your phone service; a phone platform replaces it.
- Ignoring add-ons. Booking, payments and follow-up texts can each add a per-call charge.
- Skipping the after-hours test. Call at 10 p.m. and on a Sunday before you sign.
- Assuming HIPAA coverage. Ask each vendor in writing whether it signs a business associate agreement.
- Choosing AI when you need people, or people when you need coverage. Match the option to your callers.

Frequently asked questions
How much does Smith.ai cost?
As listed on Smith.ai's pricing pages in October 2026, the AI receptionist has a Free plan with 25 calls a month, a Pro plan from $150 a month for 75 calls and an Enterprise plan from $500 a month for 300 calls. Live receptionist plans start at $300 a month for 30 calls, with per-call add-ons such as booking. Both are month to month.
What is the difference between Smith.ai and Ruby?
Both offer live, US or North America-based receptionists who answer around the clock. Smith.ai also sells AI-only and hybrid plans and prices per call. Ruby uses AI to support its human receptionists, not to answer on its own, and prices by the receptionist minute. Ruby also offers an opt-in HIPAA service with a business associate agreement.
How much does Ruby receptionist service cost?
As listed on Ruby's plans and pricing page in October 2026, live virtual receptionist plans are $250 a month for 50 minutes, $395 for 100 minutes, $720 for 200 minutes and $1,725 for 500 minutes. Extra minutes are billed at your plan's overage rate. Ruby's FAQ says there is no long-term contract and Spanish bilingual service is included.
Does Talos Connect offer live human receptionists?
No. The Talos Connect receptionist is AI only. It answers calls, books appointments in the Talos Connect calendar and takes messages, and it transfers callers to your own staff when they ask for a person or your rules call for it. If you want a live person to answer every call, a service such as Smith.ai or Ruby is the better fit.
Is Smith.ai HIPAA compliant?
Smith.ai's own medical and wellness page says it is not HIPAA-compliant and cannot handle protected health information, and it suggests healthcare-specific providers for that work. Ruby's FAQ says customers can opt in to a HIPAA compliant service by signing a business associate agreement. Talos Connect signs a BAA with healthcare clients. This is general information, not legal advice.
Can I keep my phone number if I switch answering services?
Usually, yes. Smith.ai and Ruby both work with call forwarding from your existing number, and both mention porting a number to them. Moving to Talos Connect means porting your number to Talos's own phone service, which is free. Keep the old service active until any port completes, so callers never reach a dead line.
Is an AI receptionist cheaper than a live receptionist?
On published list prices, AI plans usually cost less per call than live plans, because no person is paid for each minute. That is a price comparison, not a quality one. Calls that need judgment or empathy can still go better with a person, which is why Smith.ai sells hybrid plans. Price your own call volume both ways before deciding.
