Ooma Office is a small-business phone service listed at $19.95 (Essentials), $24.95 (Pro) and $29.95 (Pro Plus) per user per month with no contract, plus custom Enterprise pricing and AI add-ons. The main Ooma alternatives are other cloud phone systems, sales and support call platforms, all-in-one local-business platforms and AI answering tools. Choose based on texting needs, AI answering, integrations and whether you want reminders, reviews and payments in the same system.
Key takeaways
- Ooma Office is listed at $19.95, $24.95 and $29.95 per user per month for Essentials, Pro and Pro Plus, with no contract necessary and taxes and fees extra.
- Texting starts on Ooma Office Pro (up to 250 messages a month) and Pro Plus raises it to 1,000; Essentials does not list texting.
- Ooma's AI Answering Service starts at $14.99 a month with up to 40 minutes, while its fuller AI Receptionist is priced by contacting sales.
- Ooma competitors fall into four groups: cloud phone systems, sales and support call platforms, all-in-one local-business platforms and AI answering tools.
- For phones and texting alone, Ooma Office is often cheaper than Talos Connect; Talos Connect is built for offices that also want reminders, reviews, payments and a full AI receptionist.
- Talos Connect is a newer product with no EHR, PMS or POS integrations yet and a shorter connection list (eight CRMs plus Slack, Zapier, Make and n8n), while Ooma lists integrations such as Salesforce, HubSpot, Clio and Jobber.
If you are comparing Ooma alternatives, be clear about which Ooma you mean. Ooma sells residential home phone service and Ooma Office, its phone service for small businesses. This guide is about Ooma Office. Businesses look elsewhere when they need more texting than their plan includes, want an AI receptionist with a published price, want reminders, reviews and payments in the same system, or simply want a second quote. The main alternatives are other cloud phone systems, sales and support call platforms, all-in-one local-business platforms and AI answering tools.
A note on fairness. Talos Connect competes in this market, so read this as one vendor's guide. Every Ooma price and feature below comes from Ooma's own website as we read it on October 12, 2026. Ooma updates its plans, so confirm the details on ooma.com or with Ooma's sales team before you decide.
What is Ooma, and what is Ooma Office?
Ooma is a phone company with both residential and business products. On the residential side it sells home phone service. On the business side it sells Ooma Office plans, business internet, a POTS replacement service (POTS means "plain old telephone service", the traditional copper landline) and enterprise communications.
Ooma Office is a cloud phone system, meaning business calls run over your internet connection and staff answer on desk phones, a mobile app or, on higher plans, a desktop app. According to Ooma's plans page, every plan includes more than 100 standard features, a virtual receptionist (an automated greeting and menu that directs callers), a mobile app, one free toll-free number and digital fax. Ooma says you can transfer your existing number for free and deploy Ooma Office in about 15 minutes without technical expertise.
Ooma also lists a long set of integrations, including Salesforce, HubSpot, Zoho, Zendesk, Microsoft Dynamics, Pipedrive, Clio for law offices, NexHealth for dental providers, Jobber for home service businesses, Square and QuickBooks Online. CRM integration is listed on the Pro Plus plan.
For AI, Ooma lists two add-ons on its AI Answering Service and AI Receptionist page:
- AI Answering Service. Answers missed calls during or after business hours, collects caller details, answers basic questions, flags urgent calls, and records, transcribes and summarizes every call, with notifications by text or email.
- AI Receptionist. Answers calls 24/7, routes callers, answers a wider range of questions, supports multiple languages, and books appointments through Ooma Online Booking Pages, which integrate with Google Calendar and Microsoft Calendar.
Ooma's real strengths: low, clearly published per-user prices, no contract on Office plans, features such as fax and a toll-free number included from the entry plan, a wide integration list, and setup that Ooma describes as taking about 15 minutes.
Ooma pricing: what does Ooma Office cost?
As listed on Ooma's business phone plans page in October 2026, Ooma pricing for Ooma Office is:
| Ooma Office plan | Price per user per month | Highlights listed on the plan card |
|---|---|---|
| Essentials | $19.95 | 100+ standard features, virtual receptionist, mobile app, one free toll-free number, digital fax |
| Pro | $24.95 | Everything in Essentials plus desktop app, text messaging (up to 250 a month), videoconferencing (up to 25 participants), call recording, enhanced call blocking |
| Pro Plus | $29.95 | Everything in Pro plus AI transcriptions, AI insights, CRM integration, text messaging (up to 1,000 a month), videoconferencing (up to 100), team chat, hot desking, call queuing |
| Enterprise | Custom pricing | SIP trunking, Microsoft Teams integration, call center solutions, advanced analytics, custom implementation |
Each of the Essentials, Pro and Pro Plus cards says "No Contract Necessary". The compare table footnote says applicable taxes and fees are not included.
What sits outside the plan price:
- AI Answering Service. From $14.99 per account per month, including up to 40 minutes of call time, and it can be added to any Ooma Office plan.
- AI Receptionist and the AI Productivity Agent Bundle. Listed as add-ons, priced by contacting sales.
- Extra texting. Bulk SMS packages are sold by quote.
- International calls. Ooma describes a per-minute fee for outbound calls outside the US, Canada, Mexico and Puerto Rico.
- Desk phones. Ooma sells phones separately; check current prices on its site.
Why do businesses look for Ooma alternatives?
Shopping for alternatives to Ooma is normal, and it says nothing bad about the service. The common reasons are about fit.
- Texting needs outgrow the plan. Texting starts on Pro, and the plan cards list monthly message caps. A busy office that texts every appointment may need more.
- The owner wants an AI receptionist that books, with a published price. Ooma's AI Answering Service has a clear entry price, but its booking-capable AI Receptionist is priced through sales.
- The business wants customer tools in one system. Review requests, text-to-pay and intake forms are not on Ooma Office's plan cards, so they often mean separate apps.
- A move to a team-oriented or call-center setup. Growing teams sometimes compare Ooma with larger cloud phone platforms.
- A routine price check. With no contract on Office plans, comparing is easy at any time.
What are the best Ooma alternatives?
Ooma competitors fall into four groups. Name the group first and the shortlist gets much shorter.
| Category | Examples | Best for | Trade-offs |
|---|---|---|---|
| Cloud phone systems (UCaaS) | RingCentral, Nextiva, Vonage, Grasshopper, Dialpad | Businesses that mainly need calling, meetings and team chat | Reminders, reviews and payments usually separate |
| Sales and support call platforms | Aircall | Call-heavy teams that work in a CRM or help desk | Often license minimums; built for call teams rather than front desks |
| All-in-one local-business platforms | Weave, Podium, Talos Connect | Offices that want phones, texting, scheduling, reviews and payments in one place | Bigger switching project; integration coverage varies |
| AI and live answering services | Smith.ai, Ruby | Businesses that only need calls answered | Sits on top of a phone system rather than replacing it |
To compare cloud phone systems in more depth, see our Dialpad alternatives guide. For call-team platforms, see our Aircall alternatives guide. For healthcare offices weighing an all-in-one platform, our Weave alternatives guide covers that category.
Ooma vs RingCentral: how do they compare?
Ooma vs RingCentral is a common head-to-head for small businesses choosing a first cloud phone system. Both sell per-user plans with mobile apps, meetings and AI options. As listed on RingCentral's pricing page in October 2026, RingCentral sells its phone system as RingEX, with Core and Advanced plans, lists its AI Receptionist (AIR) as an add-on on those plans, and prices its AI Customer Engagement Bundles by quote. RingCentral lists 25 SMS per user per month on Core and 100 on Advanced. Ooma lists up to 250 messages a month on Office Pro and 1,000 on Pro Plus. The two vendors describe their limits differently, so ask each to confirm how the cap is counted.
Compare them on the same points:
- The per-user price of the plan you would actually need, on the billing term you want
- Contract length and renewal terms
- Texting allowances and what extra messages cost
- How the AI receptionist is priced and what it can do, especially booking
- Which integrations are included on that plan
Our RingCentral alternatives guide covers RingCentral in more detail.
Talos Connect vs Ooma Office
Talos Connect is an all-in-one communication platform for local businesses, built by Talos Automation in Houston, Texas. It covers phones, two-way texting, scheduling and reminders, reviews, payments, digital forms, marketing and an AI receptionist, and it runs on Talos's own phone service. It is a much newer product than Ooma Office, so test it carefully.

Where Ooma Office is stronger. Lower prices for phones and texting, no contract on Office plans, fax and a toll-free number included, a virtual receptionist on every plan, a low-cost AI Answering Service for light after-hours coverage, and a wide integration list.
Where Talos Connect is stronger. Customer-facing work in one system: scheduling and reminders, reviews, payments and digital forms alongside the phones and business texting. An AI receptionist with a published price that includes 500 minutes, books on the calendar and speaks English, Spanish and Vietnamese. AI outbound campaigns ($199/mo) for recalls and past-due balances, an after-hours AI text agent ($49/mo), and industry editions for medical, dental, veterinary, restaurants, home services, law firms, salons and spas, auto repair and professional services. Seats, numbers and Yealink desk phones (from $89, one-time) can be added through the self-service store. Talos Connect is available to businesses anywhere in the United States, set up and supported remotely.
Where Talos Connect is limited. No EHR, practice-management or point-of-sale integrations yet, no connection to tools such as Clio, Jobber or QuickBooks, and CRM connections send records one way. The AI receptionist is AI only, with no human answering service; calls transfer to your own staff on request. It is a newer product.
Which apps Talos Connect sends to. Its built-in list is short and specific: HubSpot, Salesforce, GoHighLevel, Pipedrive, Zoho CRM, Close, monday.com (sales CRM boards) and Airtable, plus Slack and the automation tools Zapier, Make and n8n, which can forward records to thousands of other apps. The Talos team sets each connection up and checks it daily. Once it is on, new and updated contacts, calls with their outcome and AI summary, booked appointments, new leads and missed-call alerts are sent automatically, with contacts matched by email and then phone so nobody is duplicated. The CRM integrations page has the details.
You can see all of our comparisons on the compare page.
Who should stay with Ooma?
Stay with Ooma Office if:
- You mainly need reliable calling, a virtual receptionist menu, fax and a toll-free number at a low per-user price.
- You value having no contract on your phone plan.
- You rely on one of Ooma's listed integrations, such as Clio, NexHealth, Jobber, Square, QuickBooks Online or a CRM.
- An AI answering service that takes messages for missed calls is all the AI you need.
- Your texting volume fits comfortably within your plan's monthly cap.
If that describes you, switching may cost more in time than it saves in money.
What should you ask Ooma and every alternative?
Before you sign anything, send each vendor the same short list and ask for written answers. It keeps the comparison fair and exposes costs that a plan card cannot show.
- What is the full monthly cost for our number of users, including taxes, regulatory fees and any add-ons we would need?
- How many text messages are included, how is the limit counted, and what do extra messages cost?
- What does the AI answering product actually do: take messages, route calls, book appointments? How many minutes does the price cover, and what happens after that?
- Which of our current tools will connect, on which plan, and is the connection built by you or a third party?
- What are the contract term, renewal terms and cancellation steps?
- Who owns the desk phones, and will they work with another provider?
- How do we port numbers out if we leave, and how do we export contacts, opt-outs and call history?
A vendor that answers these plainly, including the limits of its own product, is usually easier to work with after the sale.
Hypothetical worked example: a four-person office
This example is hypothetical. It uses only list prices published on ooma.com and in the Talos Connect price list on October 12, 2026. It leaves out taxes, regulatory fees, hardware, setup and anything priced by quote. Replace every figure with your written quotes.
Suppose a four-person office wants texting and call recording for everyone.
Ooma Office Pro, four users
- 4 x $24.95 = $99.80 a month, with texting (up to 250 messages a month) and call recording included.
- Over 12 months: 12 x $99.80 = $1,197.60.
Talos Connect, four Standard seats
- Seats: 4 x $24.95 = $99.80.
- One texting number: $10.
- Call recording: $20 a month for the account.
- Monthly: $99.80 + $10 + $20 = $129.80. Over 12 months: 12 x $129.80 = $1,557.60, plus the $50 one-time texting registration, for $1,607.60.
For phones, texting and recording, Ooma Office Pro is $1,607.60 - $1,197.60 = $410 lower over the year.
Now add AI answering. With Ooma's AI Answering Service at its starting price, the Ooma total becomes $99.80 + $14.99 = $114.79 a month, which covers up to 40 minutes of AI call time. With the Talos Connect AI receptionist, the Talos total becomes $129.80 + $149 = $278.80 a month, which includes 500 minutes and booking on the calendar.
Those are different products. If the office only needs messages taken on a few missed calls, Ooma's starting tier is much cheaper. If it wants an AI receptionist that books appointments and handles a few hundred minutes a month, ask Ooma for an AI Receptionist quote and compare it with $149 for 500 minutes. Then add the cost of any separate review, payment or forms tools you would still need. Our savings page shows how Talos Connect list prices add up for larger teams.
How do you switch from Ooma Office?
- List every number on the account: main line, direct-dial numbers, toll-free and fax.
- Gather a recent bill, the account number and any port-out PIN.
- Sign with the new provider and submit the port request with details that match your Ooma account exactly.
- Start 10DLC texting registration early, because carrier approval takes time.
- Rebuild your virtual receptionist menus, ring groups, hours and greetings on temporary numbers, and test them.
- Reconnect fax and confirm whether any analog fax machine still needs a line.
- Train staff on the new apps and desk phones before port day.
- Port on a quiet day, keep Ooma active until every number is confirmed, then cancel in writing.
The FCC explains your right to keep your number in its guide to porting.
Migration checklist
- Porting: full number list including toll-free and fax, account number, PIN, authorized contact
- Contacts: export names and numbers with texting opt-out status, so anyone who replied STOP stays opted out
- Templates: saved text replies, scheduled messages, greetings and menu scripts copied into a document
- Texting registration: brand details, use case, sample messages and opt-in wording for 10DLC
- Integrations: list every app connected to Ooma today, such as a CRM, Clio or Jobber, and decide what replaces it
- Hardware: check whether your desk phones can be reprovisioned; Ooma-specific devices may not move
- Recordings and logs: download anything you must retain before access ends
Our phones and VoIP feature page explains how numbers, apps and desk phones work on Talos Connect.
Common mistakes when comparing small business phone services
- Comparing seat prices without the add-ons. Texting, recording, AI answering and fax change the total. Price the bundle you need.
- Assuming "AI receptionist" means the same thing everywhere. Some take messages; others route and book. Compare what each one does, and how many minutes the price covers.
- Ignoring texting caps. Check monthly message limits against how many reminders and replies you actually send.
- Forgetting integrations. If your practice software, CRM or field-service app connects to your phones today, confirm the replacement before you move.
- Not asking about calling allowances in writing. Ask every vendor, us included, to state calling allowances, international rates and fees in writing.
- Cancelling before the port completes. Keep the old service until every number has moved.

Frequently asked questions
How much does Ooma Office cost?
As listed on Ooma's plans page in October 2026, Ooma Office Essentials is $19.95, Pro is $24.95 and Pro Plus is $29.95 per user per month, with no contract necessary. Enterprise is custom priced. Ooma notes that applicable taxes and fees are not included, and AI add-ons such as AI Answering Service and AI Receptionist are priced separately.
What are the main Ooma competitors?
Ooma competitors include other cloud phone systems such as RingCentral, Nextiva, Vonage, Grasshopper and Dialpad, sales and support call platforms such as Aircall, all-in-one local-business platforms such as Weave, Podium and Talos Connect, and answering services such as Smith.ai. Which group fits depends on how much you need beyond calling.
Is Ooma or RingCentral better for a small business?
It depends on the plan you would actually buy. Both sell per-user cloud phone plans with mobile apps, meetings and AI add-ons. Compare texting allowances, AI receptionist pricing, the integrations on each tier and contract terms. Ooma lists its Office plans with no contract necessary; ask RingCentral for its terms on the plan you are considering.
Does Ooma have an AI receptionist?
Yes. Ooma lists two AI add-ons for Ooma Office. AI Answering Service starts at $14.99 a month with up to 40 minutes of call time and answers missed or after-hours calls. AI Receptionist answers calls 24/7, routes callers and books appointments through Ooma Online Booking Pages, and is priced by contacting Ooma's sales team.
Is this guide about Ooma home phone service?
No. Ooma also sells residential home phone service, but this guide covers Ooma Office, its phone service for businesses. Home phone alternatives are a different category with different needs, such as keeping a landline number at home. If you use Ooma at home and at work, treat them as two separate decisions.
Can I keep my phone number if I leave Ooma?
In most cases yes. US rules generally allow you to port a number to a new provider when the port request matches the current account details. Keep your Ooma Office service active until the port is confirmed complete, because cancelling first can release the number. Porting existing numbers to Talos Connect is free.
Does Talos Connect connect to Clio, Jobber or QuickBooks?
Not directly. Clio, Jobber and QuickBooks are not on the Talos Connect connection list, and practice-management and point-of-sale integrations are on the roadmap. Talos Connect does send contacts, calls and leads one way to the CRMs on its list, such as HubSpot, Salesforce and Pipedrive. If one of Ooma's listed integrations is central to your workflow, that is a real reason to stay with Ooma.
